How field service software is priced at 20 engineers and up

At this size the licence model changes the total more than the list price does, and it is the part of the quote nobody negotiates because nobody reads it.
Four shapes, and what each one punishes

Every price above was read on the supplier's own page on 15 August 2026 and is reproduced, not estimated. VAT treatment differs by supplier and several do not state it at all.
The modules that are not in the headline
- Optimisation. Microsoft prices Resource Scheduling Optimization at £23.10 per resource per month on top of the licence. Eworks Manager sells Smart Planning, Scheduled Dispatch and Autoplanning as optional plugin and user modules. Joblogic puts Route Scheduling in Premium rather than Standard. If automated scheduling is the reason you are buying, price it explicitly.
- Onboarding. Klipboard's page shows one-off onboarding and training fees of £2,500 and up to $3,800 by tier, sometimes waived. Commusoft describes onboarding as essential rather than optional. Assume a four-figure implementation and ask what it covers.
- Storage and retention. Eworks Manager charges £10 to £20 per additional 100GB a month and includes 100GB to 300GB by tier. Commusoft states storage is a pool derived from your licence count. On an operation storing job photos and signed forms for years, this line grows quietly.
- Hardware and telematics. BigChange lists dashcams, fleet, fuel cards and rugged tablets with unlimited data as priced extras alongside the platform. If vehicles are in scope, the software is not the whole bill.
What to take into the first call
- Split your headcount into office users, employed engineers, and subcontractors or seasonal workers. Every pricing model above prices those three differently.
- Count assets under contract and sites, not just customers. This is what drives the tier you get quoted into on the specialists.
- Decide whether automated scheduling is a requirement or a nice-to-have, and get it priced as a line rather than assumed.
- Ask for the total three-year cost including onboarding, storage growth and the modules you have just identified, then compare that number rather than the per-user one.
